1. Agreement to Terms
Welcome to StitchQueue. These Terms of Service (“Terms”) govern your access to and use of StitchQueue (the “Service”), operated by Stitched By Susan (“we,” “us,” “our”).
By creating an account or using StitchQueue, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not use the Service.
1.1 Who May Use the Service
To use StitchQueue, you must:
- Be at least 18 years old (or the age of majority in your jurisdiction)
- Have the legal capacity to enter into a binding contract
- Not be prohibited from using the Service under applicable laws
- Operate a professional longarm quilting business or similar service business
Businesses and Organizations: If you are using the Service on behalf of a business or organization, you represent that you have the authority to bind that entity to these Terms.
1.2 Definitions
- “Service” means StitchQueue, including the website, web application, and all related services
- “Account” means your user account on StitchQueue
- “Content” means data, text, images, and other materials you input into the Service
- “Trial Period” means the 14-day trial period that begins when you sign up
- “Subscription” means your paid subscription to StitchQueue after the trial ends
- “Client” means your customer (the person or business commissioning quilting work)
2. Account Registration and Security
2.1 Creating an Account
To use StitchQueue, you must create an account by providing:
- A valid email address
- A secure password
- A payment method (credit or debit card)
- Acceptance of these Terms and our Privacy Policy
14-Day Free Trial: All new accounts start with a 14-day trial period. Your payment method will not be charged during the trial. If you do not cancel before the trial ends, your subscription will automatically begin and your payment method will be charged at the then-current subscription rate.
Trial Expiration Notice: You will receive an email reminder at least 48 hours before the trial expires stating the exact date and amount your card will be charged if you do not cancel.
Accuracy: You agree to provide accurate, current, and complete information. You must update your information promptly if it changes.
2.2 Account Security
You are responsible for:
- Maintaining the confidentiality of your password
- All activity that occurs under your account
- Notifying us immediately of any unauthorized access or security breach
We are not liable for losses resulting from unauthorized use of your account if you fail to safeguard your login credentials.
2.3 Account Termination
You may close your account at any time by:
- Contacting legal@stitchqueue.com with “Close Account” in the subject line
- Following the account deletion process in Settings
Upon closure:
- Your data will be deleted within 90 days (see Privacy Policy Section 6)
- Active subscriptions will be canceled (no refunds for unused time unless legally required)
- You may not create a new account to circumvent suspension or termination
3. Subscription Plans and Billing
3.1 Service Features
StitchQueue is a workflow management tool for professional longarm quilters. Core features include:
- Pricing Calculator — Build detailed estimates with saved business settings
- 3-Stage Kanban Workflow — Manage projects from Estimates → In Progress → Completed, plus Archive
- Client Management — Store client contact information and project history
- Job Summaries — Generate professional job summaries for your records
- Photo Uploads — Document project progress with up to 10 photos per project
- Email Delivery — Send estimates and job summaries directly to clients
- Client Intake Forms — Embeddable public forms for new client inquiries
- Business Calculator — Optional add-on for profitability analysis and rate recommendations
- Financial Reports — Track revenue, payments, and business performance
The Service is a tool for managing your workflow. You remain solely responsible for your production schedules, client deadlines, and business operations.
3.2 Pricing and Billing
Current Pricing: See stitchqueue.com/pricing for current subscription rates and the Business Calculator add-on pricing.
Billing Options: Monthly or annual subscriptions are available.
14-Day Free Trial: All new accounts receive a 14-day trial period with full access to all features. Your payment method will not be charged during the trial. If you do not cancel before the trial ends, your subscription will automatically begin at the then-current pricing rate displayed at signup.
Trial Period Notifications:
- You will receive email reminders before your trial ends (typically at 3 days and 1 day remaining)
- Each reminder will state the exact date and amount you will be charged if you do not cancel
- You may cancel anytime during the trial without charge
Auto-Renewal: Subscriptions automatically renew at the end of each billing period (monthly or annually) unless canceled before the renewal date.
Price Changes: We may change our subscription prices at any time. Price changes will be communicated via email at least 30 days in advance. Price changes apply to new subscriptions and renewals only—not to your current billing period.
3.3 Payment Processing
Payments are processed by Stripe, our third-party payment provider.
How it works:
- You enter payment information securely on Stripe’s hosted checkout page
- Stripe processes your payment and charges your card
- We receive confirmation of successful payment
- You receive continued access to StitchQueue services
What we store:
- Last 4 digits of your card
- Card brand (Visa, Mastercard, etc.)
- Card expiration date
- Billing ZIP code
We never see or store your full credit card number. All payment card data is handled exclusively by Stripe in compliance with PCI DSS standards.
Important: Stitched By Susan is the seller of record for all transactions. This means:
- You are purchasing services directly from Stitched By Susan
- Stripe processes payments on our behalf
- We are responsible for customer service, refunds, and billing disputes
- We handle all tax obligations (see Section 3.9)
3.4 Failed Payments
If a subscription payment fails:
- We will attempt to charge your payment method up to 3 times over 10 days
- You will receive email notifications about the failed payment
- If payment is not resolved within 14 days, your subscription will be canceled and you will lose access to the Service
Grace Period: You will retain access for 3 days after a failed payment to allow time to update your payment method.
3.5 Cancellation
You may cancel your subscription at any time.
To cancel:
- Log into your Stripe customer portal (link available in Settings > Subscription)
- Select “Cancel Subscription”
- Cancellation takes effect at the end of your current billing period
You will retain access until the end of your paid period, even after canceling.
3.6 Refund Policy
General Policy: Subscriptions are non-refundable. When you cancel, you retain access until the end of your current billing period, but no refund is issued for unused time.
Exceptions:
- If you cancel within 7 days of your first subscription payment (after the trial), we may issue a pro-rated refund at our discretion
- Annual subscriptions canceled within 30 days of purchase may receive a pro-rated refund at our discretion
- Refund requests must be submitted to support@stitchqueue.com
- We evaluate refund requests on a case-by-case basis and reserve the right to deny them except where required by law
No refunds will be issued for:
- Unused time on canceled subscriptions (beyond the 7-day/30-day windows above)
- Dissatisfaction with features
- Failure to use the Service
Business Calculator Add-On: The Business Calculator is a one-time purchase and is non-refundable after 7 days from purchase date.
3.7 Account Suspension for Non-Payment
If your subscription payment fails and is not resolved:
- Your account will be suspended after 14 days
- You will lose access to the Service but your data will be retained for 30 days
- You may reactivate by updating your payment method
- If payment is not resolved within 30 days, your account will be permanently closed and data deleted per our Privacy Policy
3.8 Business Calculator Add-On
The Business Calculator is an optional paid add-on that provides:
- Profitability analysis based on your overhead costs
- Hourly rate recommendations
- Performance tracking across completed projects
- Revenue reports and insights

Purchase: Available as a one-time purchase for active subscribers or as a standalone product.
Access: Once purchased, Business Calculator access is permanent as long as you maintain an active subscription. If you cancel your subscription and later resubscribe, your Business Calculator purchase remains active. If your subscription lapses and is later reinstated, the Business Calculator license will be automatically restored at no additional charge.
3.9 Sales Tax and VAT
US Sales Tax:
We collect and remit sales tax as required by state and local laws. Stripe automatically calculates applicable sales tax based on your billing address. Tax amounts are shown at checkout before you complete your purchase.
Tax-Exempt Organizations:
If you are a tax-exempt organization (nonprofit, government entity, reseller), you must provide a valid exemption certificate tosupport@stitchqueue.com before completing your purchase. Retroactive tax exemptions are not available.
International VAT/GST:
For customers outside the United States, VAT, GST, or similar taxes may apply based on your location. Stripe calculates and collects these taxes at checkout.
Your Responsibility:
You are responsible for determining and paying any additional taxes, duties, or fees imposed by your jurisdiction that are not collected by us at checkout.
4. Acceptable Use Policy
4.1 Permitted Use
You may use StitchQueue to:
- Manage your longarm quilting business operations
- Store client contact information and project details
- Generate estimates, job summaries, and invoices for your clients
- Track project workflow and business performance
- Communicate with your clients via the Service’s email features
4.2 Prohibited Use
You may NOT use StitchQueue to:
- Violate any laws or regulations
- Infringe on intellectual property rights of others
- Transmit viruses, malware, or other malicious code
- Attempt to gain unauthorized access to our systems or other users’ accounts
- Use the Service to spam, harass, or send unsolicited communications
- Resell, sublicense, or redistribute access to the Service
- Scrape or data mine the Service using automated tools
- Reverse engineer, decompile, or disassemble any part of the Service
- Use the Service in a manner that could damage, disable, or impair our servers
- Store illegal content or content that violates third-party rights
4.3 Client Data Compliance
When storing your clients’ personal information in StitchQueue, you agree to:
- Obtain necessary consent from your clients to collect and store their data
- Comply with applicable data protection laws (GDPR, CCPA, etc.)
- Use client data only for legitimate business purposes
- Maintain appropriate security measures for client data
You are the Data Controller for your client data. We act as a Data Processor on your behalf. See our Data Processing Addendum for details.
4.4 Enforcement
We reserve the right to:
- Investigate any suspected violations of these Terms
- Remove content that violates these Terms
- Suspend or terminate accounts that violate these Terms
- Report illegal activity to law enforcement
- Cooperate with legal investigations
We are not obligated to monitor user content but may do so to enforce these Terms or comply with legal requirements.
5. Content Ownership and License
5.1 Your Content
You retain all ownership rights to the content you create and store in StitchQueue. This includes:
- Client contact information
- Project details and descriptions
- Photos you upload
- Estimates and job summaries you generate
- Notes and custom fields
We claim no ownership over your content.
5.2 License to Us
By using the Service, you grant us a limited, non-exclusive license to:
- Store your content on our servers
- Display your content to you within the Service
- Process your content to provide the Service features (e.g., generating PDFs, sending emails)
- Make backup copies of your content for disaster recovery
This license ends when you delete your content or close your account.
5.3 Responsibility for Content
You are solely responsible for:
- The accuracy and legality of the content you input
- Ensuring you have the right to store and process client data
- Any content you share with clients via email or intake forms
We are not responsible for the content you create or the accuracy of estimates/invoices you generate.
6. Intellectual Property
6.1 Our Ownership
StitchQueue, including all software, code, designs, logos, and documentation, is owned by Stitched By Susan and protected by copyright, trademark, and other intellectual property laws.
You may not:
- Copy, modify, or create derivative works of the Service
- Use our trademarks or branding without permission
- Remove or alter any copyright or proprietary notices
6.2 Feedback
If you provide feedback, suggestions, or ideas about StitchQueue:
- We may use your feedback without obligation or compensation to you
- You grant us a perpetual, irrevocable license to implement your ideas
- We are not required to keep your feedback confidential
This allows us to improve the Service based on user input without legal complications.
7. Third-Party Services
7.1 Service Providers
We use third-party providers to operate StitchQueue:
- Supabase — Database hosting and authentication
- Vercel — Application hosting
- Stripe — Payment processing
- Resend — Email delivery
You acknowledge that your use of the Service involves these third parties processing your data according to their own terms and privacy policies.
7.2 Third-Party Links
StitchQueue may contain links to third-party websites or services. We are not responsible for:
- The content or practices of third-party sites
- Any damage or loss caused by third-party services
- The accuracy or availability of third-party sites
Your use of third-party services is at your own risk.
8. Service Availability and Modifications
8.1 Uptime
We strive to keep StitchQueue available 24/7, but we do not guarantee uninterrupted access. The Service may be unavailable due to:
- Scheduled maintenance (we will provide advance notice when possible)
- Emergency maintenance or security updates
- Internet or hosting provider issues
- Force majeure events beyond our control
We are not liable for any downtime or service interruptions.
8.2 Service Modifications
We may modify, update, or discontinue features of the Service at any time with or without notice. We will make reasonable efforts to:
- Notify users of significant changes via email
- Maintain backwards compatibility when possible
- Provide migration paths for deprecated features
We are not obligated to maintain any specific feature indefinitely.
8.3 Service Discontinuation
If we decide to shut down StitchQueue entirely, we will:
- Provide at least 90 days’ notice via email
- Allow you to export all your data
- Issue pro-rated refunds for annual subscriptions (at our discretion)
9. Disclaimers and Limitation of Liability
9.1 Disclaimers
THE SERVICE IS PROVIDED “AS IS” WITHOUT WARRANTIES OF ANY KIND.
We disclaim all warranties, express or implied, including:
- Warranties of merchantability or fitness for a particular purpose
- Warranties that the Service will be error-free or uninterrupted
- Warranties regarding the accuracy of estimates or calculations generated by the Service
- Warranties that the Service will meet your specific business requirements
The Service is a tool for managing your workflow. You are solely responsible for:
- Verifying the accuracy of estimates and job summaries before sharing with clients
- Meeting your client deadlines and production schedules
- Maintaining your own backup copies of critical business data
- Ensuring your use of the Service complies with applicable laws
We do not provide business, financial, legal, or tax advice. Consult appropriate professionals for such guidance.
Business Calculator Disclaimer:
The Business Calculator is a mathematical tool only. Rate recommendations, profitability calculations, and business insights are provided for informational purposes and do not constitute financial, business, or professional advice. You assume all risk for pricing decisions and business strategies based on calculator results. Consult qualified professionals for business advice.
9.2 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, STITCHED BY SUSAN SHALL NOT BE LIABLE FOR:
- Indirect, incidental, consequential, or punitive damages, including:
- Lost profits or revenue
- Loss of business opportunities
- Loss of client relationships
- Damage to reputation
- Costs of substitute services
- Direct damages exceeding the amount you paid us in the 12 months prior to the claim
EXAMPLES OF EVENTS WE ARE NOT LIABLE FOR:
- Data loss due to service interruptions, even if you didn’t maintain backups
- Lost revenue if the Service is temporarily unavailable
- Client disputes arising from estimates or invoices you generated
- Missed deadlines caused by reliance on the Service
- Errors in calculations or reports generated by the Service
- Unauthorized access to your account due to weak passwords
This limitation applies even if we have been advised of the possibility of such damages.
9.3 Jurisdictional Limitations
Some jurisdictions do not allow certain disclaimers or limitations of liability. In such jurisdictions:
- Our liability will be limited to the fullest extent permitted by law
- Any unenforceable provisions will be modified to the minimum extent necessary to make them enforceable
10. Indemnification
You agree to indemnify, defend, and hold harmless Stitched By Susan, its officers, directors, employees, and agents from any third-party claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any law or regulation
- Your violation of any third-party rights (including your clients’ privacy rights)
- Content you create or share via the Service
- Disputes between you and your clients
Example: If your client sues us because you stored their data without consent, you agree to defend us and pay any resulting costs.
This indemnification survives termination of your account.
11. Dispute Resolution
11.1 Governing Law
These Terms are governed by the laws of Washington State, USA, without regard to conflict of law principles.
11.2 Arbitration Agreement
Most disputes can be resolved informally. Before filing any legal claim, you agree to contact us at legal@stitchqueue.com to attempt to resolve the dispute.
If informal resolution fails, you agree to binding arbitration under the following terms:
Arbitration Rules:
- Arbitration will be conducted remotely via video conference to minimize costs
- Arbitration will be administered by the American Arbitration Association (AAA) under its Commercial Arbitration Rules
- The arbitrator’s decision is final and binding
- Judgment on the arbitration award may be entered in any court with jurisdiction
What You’re Giving Up:
- The right to sue in court
- The right to a jury trial
- The right to participate in a class action lawsuit
Exceptions (Small Claims Court):
- Either party may bring a claim in Small Claims Court in Spokane County, Washington, if the claim qualifies under Spokane County District Court small claims rules (up to $10,000 for natural persons or $5,000 for business entities)
- Small claims provides an accessible forum for resolving minor disputes without the cost of arbitration
Class Action Waiver:
- You may only bring claims against us in an individual capacity, not as part of a class action
- You may not participate in a class action against us, even if you opt out of arbitration
- You may not consolidate your claim with claims of others
Opt-Out:
- You may opt out of this arbitration agreement by emailinglegal@stitchqueue.com within 30 days of creating your account
- Your opt-out email must include your name, email address, and a clear statement that you opt out of arbitration
- If you opt out, all other terms still apply, but disputes will be resolved in court
Arbitration Costs:
- We will pay all AAA filing fees and arbitrator fees for claims under $10,000
- For claims over $10,000, fees are split according to AAA rules
- Each party pays their own attorney fees unless the arbitrator awards them to the prevailing party
30-Day Informal Resolution Requirement:
- Before initiating arbitration, you must send a written notice tolegal@stitchqueue.com describing the dispute and proposed resolution
- We have 30 days to respond and attempt informal resolution
- If we cannot resolve the dispute informally, either party may initiate arbitration
11.3 Venue for Court Actions
If arbitration does not apply (because you opted out, the claim is in small claims court, or the claim involves injunctive relief), any court action must be brought in the state or federal courts located in Spokane County, Washington. You consent to personal jurisdiction in these courts.
12. General Terms
12.1 Entire Agreement
These Terms, together with our Privacy Policy and Data Processing Addendum, constitute the entire agreement between you and Stitched By Susan regarding the Service.
These Terms supersede any prior agreements or communications.
12.2 Modifications to Terms
We may modify these Terms at any time. If we make material changes:
- We will notify you via email at least 30 days before the changes take effect
- We will update the “Last Updated” date at the top of this document
- Continued use of the Service after changes take effect constitutes acceptance of the new Terms
You may close your account if you disagree with changes to the Terms.
12.3 Severability
If any provision of these Terms is found to be unenforceable or invalid:
- That provision will be modified to the minimum extent necessary to make it enforceable
- All other provisions remain in full effect
12.4 Waiver
Our failure to enforce any provision of these Terms does not waive our right to enforce it later. Waiver of one breach does not waive future breaches.
12.5 Assignment
You may not transfer or assign your rights under these Terms without our written consent.
We may transfer our rights and obligations under these Terms to another entity (e.g., in the event of a merger or acquisition) with notice to you.
12.6 Force Majeure
We are not liable for any failure to perform our obligations under these Terms due to events beyond our reasonable control, including:
- Natural disasters (earthquakes, floods, fires)
- War, terrorism, or civil unrest
- Government actions or legal restrictions
- Internet or telecommunications failures
- Cyberattacks or data breaches affecting our service providers
12.7 Survival
The following provisions survive termination of your account:
- Section 5 (Content Ownership)
- Section 6 (Intellectual Property)
- Section 9 (Disclaimers and Limitation of Liability)
- Section 10 (Indemnification)
- Section 11 (Dispute Resolution)
12.8 Notices
To You: We will send notices to the email address associated with your account. You are responsible for keeping your email address current.
